Procurement Coordinator

About the role

The Procurement Coordinator plans, coordinates and executes procurement activities to ensure timely, cost‑effective and compliant acquisition of goods, works and services. The role supports program delivery through strategic sourcing, contract management and supplier relationship development.

Key responsibilities

• Develop and update the annual procurement plan in consultation with departments.
• Conduct market and cost analysis, benchmark pricing and availability.
• Manage the full procurement lifecycle: requisition, solicitation, selection, contracting and delivery.
• Draft RFQs/RFPs, create evaluation criteria and lead selection committees.
• Maintain audit‑ready documentation and ensure compliance with donor and local regulations.
• Build and maintain a vendor database, pre‑qualify suppliers and monitor contract performance.
• Liaise with finance, logistics and program teams to align needs, timelines and budgets.
• Organise tender processes, oversee scoring and debriefing.
• Maintain procurement trackers, prepare reports and support audits.

Required profile

• Bachelor’s degree in Supply Chain Management, Business Administration, Logistics or a related field.
• Minimum 3 years of procurement or supply‑chain experience, preferably in an NGO or donor‑funded environment.
• Proven experience managing end‑to‑end procurement, vendor management and contract negotiation.
• Demonstrated ability to ensure compliance with donor and local procurement regulations.
• Familiarity with procurement software such as SAP, Oracle or Coupa.
