About the role
The International Rescue Committee is seeking an Admin & Logistics Assistant to provide day‑to‑day support to its Admin and Logistics department and the wider team. This role ensures smooth office operations and assists with project activities in line with IRC policies.
Key responsibilities
- Serve as the first point of contact for visitors and incoming calls, presenting a professional and welcoming presence.
- Manage the office calendar, schedule appointments and meetings, and maintain up‑to‑date filing systems for both physical and electronic documents.
- Prepare and distribute correspondence, memos, letters, and forms; ensure office supplies are stocked and tracked.
- Supervise cleaning and maintenance staff, report repair needs, and assist with office asset labeling and tracking.
- Organise transportation and accommodation for staff travel and project activities; manage office fleet logbooks, fuel records, and routine maintenance scheduling.
- Support inventory management in the office and warehouse, handling receipt, documentation, and distribution of goods.
- Assist in preparing payment requests for administrative and logistical expenses, handle petty cash transactions, and maintain records of contracts, leases, and agreements.
- Help ensure a safe and secure office environment by reporting security or safety concerns.
Required profile
- Strong organizational abilities with attention to detail.
- Excellent communication skills for interacting with visitors, staff, and external partners.
- Ability to manage multiple administrative and logistical tasks simultaneously.
- Experience in supporting office operations, inventory control, and basic financial documentation.
