Service & Spare Parts Support Administrator

About the role

Kongsberg Maritime is seeking a Service and Spare Parts Support Administrator to join its Global Customer Support team in Panama. The role focuses on handling after‑market service quotes, invoices, and customer communications for the Latin America region, ensuring timely and accurate support for our maritime customers.

Key responsibilities

• Register new customers and perform due‑diligence checks on business partners and vessels.
• Prepare, issue and follow up on spare‑parts quotes, sales orders, purchase orders and invoices.
• Maintain the ERP system with all job‑related activities, including time, expenses and parts tracking.
• Collect payments, manage billing inquiries and support account reconciliation.
• Act as the primary point of contact for customer communications, excluding scheduling and technical troubleshooting.
• Collaborate closely with sales and service teams to maximise customer satisfaction and sales potential.

Required profile

• Strong attention to detail and ability to manage multiple administrative tasks.
• Excellent written and verbal communication skills in English.
• Customer‑focused mindset with a collaborative approach.
• Experience working in a service‑oriented environment, preferably within the maritime or industrial sector.

Required skills

• Proficiency in using ERP systems for order processing and invoicing.
• Ability to generate accurate quotes and manage purchase‑order workflows.
• Basic understanding of spare‑parts logistics and after‑market service processes.
