Human Resources Assistant (Maternity Cover)

About the role

The International Organization for Migration (IOM) is seeking a Human Resources Assistant on a maternity‑cover basis. Working under the Resource Management Officer and directly supervised by the Senior Human Resources Associate, the incumbent will support the office’s HR functions in line with IOM regulations and procedures.

Key responsibilities

• Coordinate recruitment activities: publish vacancy notices, manage applications, schedule interviews and tests, and handle candidate communications.
• Conduct pre‑employment tasks including preparation of Entry on Duty documentation, medical exam coordination, orientation, security briefing, insurance enrollment, and personal file creation.
• Maintain the organizational HR system with accurate data entry, monitor contractual situations, generate reports, and ensure data consistency.
• Act as Timekeeper: update leave quotas, reconcile records, produce leave reports, and guide staff on leave procedures.
• Support separation, classification, reclassification, and promotion processes by gathering documentation, drafting forms, performing calculations, and obtaining approvals.
• Update and manage both electronic and physical archiving systems for personnel and recruitment files, policies, and internal controls.
• Draft employment certificates, notices, letters, reports, presentations, and update the organizational chart.
• Assist in organizing meetings, training sessions, and related logistical activities.

Required profile

• Ability to work under supervision of senior HR staff.
• Strong attention to detail and data accuracy.
• Good organizational and administrative skills.
